Club Committee
On this page you'll find more information about the Albany Toastmasters Club committee members. Find out what each role is all about, and when you should contact them.

The Club President
The President is the person that sets the tone for the club, and helps motivate the rest of the members to achieve their goals.
Contact the President if you are unsure about who to go to with your problem. The President should be able to help you out, or direct you to the correct committee member to contact.
Duties:
- Open and Close all Club meetings
- Preside over Executive Committee meetings.
- Appoints any special committees.
- Ensure all Officers understand and are undertaking their responsibilities. Insist on regular reports from Committee members.
- Co-ordinate the Club Success Plan.
- Require the VP Education to conduct an effective programme, quality club meetings and ensures there is maximum opportunity for members development.
- Require the VP Membership to develop and implement membership programmes and be responsible for new member orientation.
- Require the VP Public Relations to develop internal and external public relation and publicity programmes. To oversee the information on the web site and the production and distribution of the club newsletter.
- Attend and participate in Area and District Council meetings.
- Prepare an Annual Club Report.
- Other duties as outlined in the Club Officers manual.
Although delegating authority to do a job, the President is still responsible for making sure the job is done.
The Vice President Education
The VP Education is responsible for ensuring that the individual club members achieve their educational goals.
Contact the VP Education if you have any questions about doing a specific role, or completing a specific speech. You should also contact the VP Education if you have any questions related to our mentorship program.
Duties:
- Plan dynamic club meetings
- Promote Toastmasters education programme to club members
- Prepare and maintain a roster showing a members role at each club meeting
- Prepare charts of achievement showing members progress through their awards.
- Ensure all members understand the importance of evaluations and know how to evaluate effectively.
- Report completed awards to world headquarters.
- Co-ordinate Speechcraft and Youth Leadership programmes.
- Encourage members to participate in Toastmasters activities and programmes.
- Co-ordinate Speech Contests.
- Attend and report at Club Executive meetings.
- Preside in the absence of the President.
- Attend and vote at Area and District Council meetings.
- Prepare annual report for club AGM.
- Other duties as outlined in the club officers manual.
The Vice President Membership
The VPM is responsible for ensuring that the club has enough members, by ensuring that existing members are happy and that guests turn into members.
Contact the VPM if you have someone you think would benefit from Toastmasters, and you would like us to get in touch with them.
Duties:
- Ensure visitors are greeted and made welcome.
- Promote club membership.
- Maintain an accurate membership roll.
- Maintain the mentors role.
- Attend and report at club executive committee meetings.
- Attend and vote at area council meetings.
- Prepare annual report for club AGM.
- Other duties as outlined in the club officers manual.
The Vice President Public Relations
The VPPR is responsible for ensuring that the rest of the world knows about the club.
Contact the VPPR if you have any information that you want on the website, or if you want to promote something about the club to the wider public.
Duties:
- Plan and promote a public relations programme.
- Arrange preparation and distribution of publicity material.
- Oversee the information on the web-site.
- Produce a club newsletter.
- Liaise with the press and other organizations.
- Co-ordinate Toastmasters Week activities
- Attend and report at Club Executive Committee meetings.
- Prepare annual report for club AGM.
- Other duties as outline in the Club Officers manual.
The Secretary
The secretary is responsible for maintaining all the club records.
Contact the secretary if you want to get access to any club records - from club committee meeting minutes to our club attendance register.
Duties:
- Responsible for copy of the club constitution and by-laws.
- Record minutes of committee meetings and business sessions.
- Maintain club correspondence and circulate any relevant material received.
- Order supplies as required.
- Maintain the list of club officers at district and world headquarters.
- Attend and report at club executive committee meetings.
- Prepare annual report for club AGM.
- Other duties as outline in the club officers manual.
The Treasurer
The treasurer is the club’s accountant, and needs to ensure that the club’s money is in order.
Contact the treasurer if you have any questions regarding the club's finances.
Duties:
- Prepare an annual budget for the club.
- Ensure bank signature card is up to date
- Notify and collect semi-annual fees and remit to world headquarters
- Pay all bills promptly
- Keep a complete and accurate record of all financial transactions
- Attend and report at club executive meetings.
- Submit club accounts for audit. (if required)
- Prepare annual report for club AGM.
- Other duties as outlined in the club officers manual.
Sergeant at Arms
The SAA is responsible for ensuring that the meeting is setup, and that the club’s equipment is looked after.
Contact the SAA if you have any special requirements (such as setting up props for your speech) for your next meeting role.
Duties:
- Arrange seating, lights and equipment for each meeting.
- Ensure club banner is displayed.
- Bring milk and ensure supper supplies are adequate.
- Ensure the white board has marker pens and eraser.
- Check if any equipment e.g. OHP, audio, computers, projectors, will be used by a speaker. Ensure it can be connected and placed in a suitable position for use.
- Arrange any such equipment before the speaker is introduced, and restore speaking area once speech is completed.
- Attend and report at club executive meetings.
- Prepare annual report for club AGM.
- Other duties as outlined in the club officer’s manual.
Immediate Past President
The IPP guides and mentors the new committee.
Duties:
- Assists with the distinguished club plan.
- Chairs the nominating committee for new executives.
- Provides guidance and serves as resource to club officers.
Toastmasters International provides a Club Leaders Manual. This covers all roles except for the immediate past president. These handbooks should be distributed to each appropriate office holder.
